 Why is the Forms & Marketing Materials area empty?

When you first access Repsource, there will be no saved Forms or Marketing Materials.   

You will need to use the Search & Add function to find the Forms or Marketing Materials you wish to add to this portlet and then click the Add to Homepage button when you have located the PDF you want. 

 How do I search for a form or marketing material?

If you want to add a form or marketing material, click    
This action will take you to a filter search page.

You will have the ability to search on all forms and marketing materials by selecting the various filters which include:  keyword, document type, product category, and/or product.

Once you enter Search, a list of form(s) will appear that meet the search criteria.

You can select the form or marketing material from this list by clicking on the title of the pdf to open it.

If nothing appears when you click Search, check the following:

  • Did you spell the key word correctly?  The search filter requires exact spelling.  If you aren’t sure of the spelling, use an * as a wild card.
  • Did you select the correct document type?  If you are looking for a form and you select marketing materials, your search may not provide results.
  • Have you selected the correct product category / product?

 How do I know if I’m using the most up-to-date version of a form?

The forms or marketing material you access from Repsource will always be up-to-date.  

If you have a hard copy (paper) version of a form, and you are wondering if it is a current version, do the following:

Search for the Form or Marketing Material (see How do I search for a form or marketing material?)

Filter your search to identify forms that have been updated in the last 30 days.  If your form or marketing materials appears in this list, ensure you are  using the updated version

 How do I add Forms or Marketing Material to my Homepage?

Once you have located a Form or Marketing Material, you can save it to your home page by clicking the star icon button found under the Actions column.

You will get a pop-up that allows you to select the folder you would like to save the item in.

Click OK to continue.

The form or marketing material will now appear in the appropriate default folder (Forms or Marketing materials) on your home page.

 How do I remove a Form or Marketing Material from my Homepage?

Once a form or marketing material PDF has been added to your home page, it can be removed as follows:

1. Click on the EDIT button to place the portlet in edit mode.

2. Open the folder where the Form or Marketing material is located.  Icons will appear beside the document name.

3. Press the trash can icon to remove the form or marketing material from the folder.

4. A prompt “Are you sure you want to remove from Forms & Marketing Materials?” will appear with Ok and Cancel buttons.

5. Click Ok to remove the document from the list or

6. Click Cancel to cancel the remove and the selected document will remain on your list.

 How do I rename a Form or Marketing material?

Once a form or marketing material PDF has been added to your home page, it can be renamed as follows:

1. Click on the EDIT button to place the portlet in edit mode.

2. Open the folder where the Form or Marketing material is located.  Icons will appear beside the document name.

3. Click the pencil icon to rename the form from the folder.  A current name of the form or marketing material will appear in a box.

4. Enter the new name for the form or marketing material in the box.

5. Click save to save the new name of the Form or Marketing material.  The form or marketing material will appear in the folder displaying the new name.

Managing Folders

 How do I move a Form or Marketing material within a folder?

Once a form or marketing material PDF has been added to your home page, it can be moved in the list of items in the folder as follows:

1. Click on the EDIT button to place the portlet in edit mode.

2. Open the folder where the Form or Marketing material is located.  Icons will appear beside the document name.

3. Click the up / down arrow icon to move the form or marketing material within the folder.  

4. Click save & close to save your changes.

 How do I create a folder?

Once a form or marketing material PDF has been added to your home page, it will appear in the default folder.  You can create folders to file forms and marketing materials as follows:

1. Click on the EDIT button to place the portlet in edit mode.

2. Click create new folder.  The words New folder will appear in a box.

3. Enter the folder name.  (Note: Folders will appear in alphabetical.  Use an alphanumeric name if you wish to control the order your folders appear.)

4. Click save to save the folder.  

5. The folder will now appear in alphabetical order as part of the list of folders in the Forms or Marketing materials tab.

6. Move a form or marketing material into the folder by opening the folder where the form or marketing material is currently located.  Then drag and drop the form or marketing material into the new folder.  

7. Click save & close to save your work.  (Important note:  if you don’t move a form or marketing material into a folder, it will disappear when click save & close.)

 How do I rename a folder?

Once a folder has been added to your home page, it can be renamed as follows:

1. Click on the EDIT button to place the portlet in edit mode.

2. Icons will appear beside the folder.

3. Click the pencil icon to rename the folder.  The current name of the folder will appear in a box.

4. Enter the new name for the folder in the box.

5. Click save to save the new name folder.  The folder displaying the new name will appear in the portlet.

 How do I remove a folder from my Homepage?

Once a folder been added to your portlet, it can be removed as follows:

1. Click on the edit button to place the portlet in edit mode. Icons will appear beside the folder name.

2. Click on the folder to open it.  Icons will appear beside each item filed in the folder.  

3. Remove items from the folder by

a. Pressing the trash can icon to remove each item in the folder.  A prompt “Are you sure you want to remove from Forms & Marketing Materials?” will appear with Ok and Cancel buttons.

b. Click Ok to remove the document from the list.
or
c. Drag and drop the item to another file folder.

4. When all items have been deleted or moved, press save & close.  The folder will no longer appear in the portlet.
